Position Overview: This role encompasses all essential managerial tasks related to the hiring, supervising, evaluating, training, and educating of the workforce solutions/timekeeping team.

Key Responsibilities:

  • Timekeeping Coordination: Ensure the successful completion of all timekeeping process cycles for all OH healthcare entities.
  • Timecard Review: Verify that all team member timecards are submitted on time and accurately according to OH policy.
  • Payroll Issue Resolution: Identify and resolve issues arising from payroll interfaces.
  • Leadership and Guidance: Provide direction to Workforce Solution Specialists on procedures, guidelines, and regulations, ensuring they are well understood and implemented.
  • Operational Management: Oversee daily operations for all Workforce Solution Specialists, including analyzing metrics, staffing shifts, meetings, training, etc.
  • Productivity Monitoring: Assess the productivity of Workforce Solutions Supervisor and Specialists by monitoring ongoing work, including projects, and demonstrating proficiency in time management.
  • Collaboration: Work closely with the Payroll Director regarding the workload, performance, needs, challenges, and achievements of Workforce Solution Specialists.
  • Relationship Maintenance: Maintain effective working relationships with support areas such as legal, HR, Benefits, Payroll, HRIS, Finance, and IS.
  • Project Assistance: Support the Payroll Director with company acquisitions, system growth, and other payroll/time-related projects.
  • Time Reporting Support: Assist the Director with team members' time reporting and scheduling requirements.
  • Historical Time Corrections: Ensure the Workforce Specialists review all Historical Time Corrections processed by the Payroll Team and provide assistance as needed.
  • Training: Train payroll/timekeeping members on new or updated operational procedures and policies.
  • Kronos Training: Oversee the training of new timekeepers on all functions of the Kronos Workforce/Dimension time system.
  • Policy Development: Continuously create or adjust payroll/time processing policies and procedures.
  • Process Improvement: Identify and document standards for new process improvement initiatives.
  • Year-End/Begin Tasks: Assist with tasks related to time reporting at the year-end and year-begin periods.
  • Service Issue Escalation: Maintain a good working relationship with the Payroll Director and Payroll Manager, escalating potential service issues promptly.
  • Backup Role: Provide backup coverage for Workforce Solutions Specialists during vacations and high-volume periods.
  • Test Processing: Manage PS Kronos Tab/Person Import Test Scripts provided by HRIS and process test timecard entries effectively.
  • Regulatory Knowledge: Maintain knowledge of Federal and State regulations, compensation policies, and benefits to answer employee questions about timecards.
  • Exception Research: Research and compile information on outstanding time exceptions that require retroactive adjustments.
  • Case Management: Oversee the Case Management system to ensure accurate and timely responses to team members.
  • System Expertise: Maintain expert knowledge of Payroll and Kronos Workforce Central/Dimensions Timekeeping systems.
  • Attendance: Maintain regular, punctual attendance in line with Orlando Health policies and relevant standards.
  • Compliance: Ensure compliance with all Orlando Health policies and procedures.
  • Additional Duties: Perform other duties as assigned.

  • Customer Service: Show dedication to customer service and experience in managing customer relationships and escalations.

The individual may also be eligible for discretionary bonuses.
